Giving Applicants the Good News! (Offer Letters)

Telling applicants they have the jobs they seek is a good part of Michelle Robertson’s day. This is when the human resources associate at Sarnia-Lambton, Ontario’s Bluewater Health moves them to the final stage of her applicant tracking system workflow.

What goes into the offer letter?

It’s a lengthy step that starts with an offer letter and includes a set of “new hire” paperwork. What that paperwork entails depends on the union the new employee will join.

“I used to draft letters in a word processor,” Robertson recalls. Once the letter was ready, Robertson needed to gather the right forms and attach them to the email. “I had to make sure everything was there.”

Now, Robertson sends offer “letters” from Njoyn, Bluewater Health’s online recruiting solution. Her email templates include not just the right language, but also links to all the new hire paperwork successful applicants need to complete. Once she personalizes the message, she sends it directly from Njoyn. “New hires receive the paperwork before they arrive. They can print it, fill it in it, and bring it to the office to be processed.”

Nothing falls through the cracks. “All the forms, benefits booklets and so forth are all in one email, in one place,” Robertson says.
